Quality Control in China: What to Agree Before Production

Quality control works best when the expectations are clear before the goods are made. An instruction such as “good quality” leaves too much open to interpretation. A useful inspection brief describes the product, the checks to perform and the issues that require your decision.

Start with an approved reference

Provide the purchase specification, confirmed drawings and approved sample details. If changes were made after the sample review, put them in writing and identify the final version. Include packaging and labelling requirements as well as the product itself.

For example, a furniture order may require checks on dimensions, upholstery colour, visible finish, fittings and assembly. Machinery may need a different plan based on its configuration and an agreed demonstration. The scope should fit the product.

Define what the inspection covers

Discuss the relevant checks before booking. Depending on the order, these may include:

• Product identity, models and quantities available.
• Appearance, workmanship and visible damage.
• Dimensions or other specified measurements.
• Agreed functional or assembly checks.
• Included parts, accessories and instructions.
• Carton markings, packing and protection.

Agree whether the inspection is sample-based or covers every unit. Also identify any equipment, access or supplier support needed to carry out the checks. A visual inspection cannot replace specialist testing or establish every aspect of product compliance.

Choose the right point in the order

Early checks can help resolve misunderstandings about materials or specifications. Production follow-up can show whether the order is progressing as expected. A pre-shipment check reviews the goods when they are sufficiently complete to assess against the agreed scope.

The most useful timing depends on the product and what you need to learn. Leave room in the schedule for the supplier to respond to findings, carry out corrections and arrange another check if necessary.

Decide how findings will be handled

A report should help you make a decision. Ask for clear photographs, descriptions of the issues found and identification of the items checked. Distinguish a cosmetic concern from a missing component or a failure of an agreed function.

When a problem is found, record the proposed correction, who will carry it out and how completion will be confirmed. Do not assume a verbal promise and a completed correction are the same thing.
